There's no need to retype the same thing over and over again when it could be saved! Make your life easier! As an agent, you're already incredibly busy and pressed for time - do yourself a favor and use templates.
Streamline and Customizable
What are email templates? In the majority of email sites (gmail, yahoo, outlook, etc.) there is a feature to create and save multiple email templates. For example, in gmail (the world's email go-to) here's how Google itself explains setting up templates:
Enable templates
- Open Gmail.
- At the top right, click Settings See all settings.
- At the top, click Advanced.
- In the Templates section, select Enable.
- At the bottom, click Save Changes.
Create or change a template
- Open Gmail and click Compose.
- In the Compose window, enter your template text.
- Click More Templates.
- Choose an option:
- To create a new template, click Save draft as templateSave as new template.
- To change a previously saved template, click Save draft as template and under Overwrite Template, choose a template and click Save to overwrite it.
Insert a template
- Open Gmail and click Compose.
- Click More Templates.
- To insert a template, under Insert template, choose a saved template to insert in your email.
- Compose the rest of your message and click Send.
It really is that simple and could save agents hours of time. There are certain emails that agents send out regularly and why not make that process that much faster?
Then draft up emails that you send out on a daily or weekly basis. You can go in and change the names and details later - but the meat of it is already there!
Work Smarter, Not Harder
Emails are a constant part of an agent's day to day live. Templates enable agents to use their time for more. We're all about working smarter, not harder. Also, email templates are a great way to use an assistant or another type of hired on help. Teams would be wise to execute email templates as well so that everything is uniform.
Consider using this tool for follow-ups, introductions, sending contracts and agreements - truly almost everything agents do via internet communication. It's easy to customize with a client's name and information but all of the details, links, and general info can be auto-populated!
